1.0 General

1.1 The aim of our club is to support acceptable behaviour and respect for others. Good behaviour is valued and encouraged, e.g. friendliness to others, willingness

to share and good manners. We will always explain to the member if their behaviour is unacceptable, e.g. fighting, bullying, bad language, calling names, selfishness, endangering themselves and others. Parents (if applicable) will always be involved in helping us to support continued acceptable behaviour.  

1.2 The Europa Centre is committed to providing a caring, friendly and safe environment for all members. Bullying of any kind is unacceptable. If bullying does occur, members should tell a member of staff and know that incidents will be dealt with promptly and effectively. Europa Centre has an anti-bullying policy as follows:-

1.3 If it is considered that a member’s behaviour is incompatible with the safe enjoyment of an activity, the Europa Centre reserves the right to exclude any member from taking part in that activity. Under these conditions no refund will be given.

1.4 Any complaints can be made in writing to our Business Development Manager, Emma Sheriff. Please provide full contact details to ensure the matter can be dealt with swiftly.

1.5 The Europa Centre has its own welfare officers who are available as a first point of contact for any matter arising with regards to the welfare of the Members. Please see staff notice board for details on the current officers/representatives.  

1.6 Please consider your actions when using or posting on Social Networking sites, any comments, pictures etc. and the effect it may have on the Centre, its members, non-members, other sporting clubs/associations or their members. Any derogatory comments made or inappropriate pictures posted about the Centre, its members, non-members, other sporting clubs/associations or their members may result in your membership being terminated.  

1.7 Abuse towards staff, volunteers and members will not be tolerated.

1.8 The Europa Centre operates a no refund policy. Credits will only be considered for medical reasons supported by a doctor’s note at the discretion of the management.   

1.9 Toilets:

Please try to get your child to go to the toilet before the class starts. You will need to be available to take your child to the toilet if they need to go during the class. Please note. In the interest of hygiene and respect for other users of the Centre, please use the toilets or changing rooms when potty training your child not the gymnasium, reception, café or corridors. If you require any assistance please contact a member of staff.

Please ask your child to go to the toilet before the class starts. We do not take responsibility for the children going to the toilet during the class, if you are not comfortable for your child to go to the toilet on their own you must be available to take your child to the toilet if they need to go during the


2.0 Safety & Registration

2.1 Parents and other family members are not permitted inside the gymnasium.  

2.2 While in the gymnasium every effort will be made to ensure the safety of all class members. It is the parents or guardians responsibility to ensure their safety when the child is not taking part in their class.

2.3 All members will be required to register their attendance upon entry to the Centre at reception.

2.4 The Europa Centre is only responsible for your child while they are taking part in their specific class time not before or after.

3.0 Medical Issues

3.1 Any child that requires an inhaler must have it clearly marked with the child’s name. It should be handed to the coach in charge of the class at the beginning of the lesson for safekeeping and collected again at the end. The Staff may assist the child, but the child must actually administer the medication. Should your child require other medication they should either be able to administer it themselves, or have a parent or responsible adult at the Centre on hand to do so. Any medical details should be recorded on a separate medical details form which if needed you can pick up from reception. Gymnasts in our individual needs classes must fill out a medical details form.

3.2 If at any time during the membership year your child’s medical details change that may affect them participating in any activities you must inform reception and the coach in charge of your child’s class immediately and a medical details form should be filled out/altered by yourself.

3.3 All accidents are recorded in the accident book.  

4.0 Personal Property

4.1 The Europa Centre cannot be held responsible for any items that are lost or stolen at the premises. The Europa Centre is a multi-activity venue. The Centre is used by various sporting hirers, therefore the Europa Centre cannot be held responsible for any lost or stolen items anywhere in the building. Our advice is to clearly label all belongings with their name. We advise that you do not bring any items of value such as jewellery, watches, mobile phones, iPods or tablets etc.

4.2 Please ask at reception for the location of the lost property. Please note that the contents of this lost property will be disposed of during every school holiday.

5.0 Balcony Protocol

5.1 The 2nd floor corridor is primarily a fire exit route and must in all cases be kept clear of any obstructions.  

5.2 On occasions the balcony may be curtained off when practicing for events or a private hirer is using the gym.

5.3 The balcony is for standing room only.

6.0 Clothing

6.1 For safety purposes: Members should wear comfortable clothing to allow freedom of movement while at the same time clothing must not be too loose-fitting for safety reasons, Denim is not allowed. Leotards for girls and leotards & shorts for boys are preferred for gymnastics classes.

6.2 All long hair must be neatly tied back with no exceptions. Hair beads are not allowed.

6.3 It is forbidden to wear jewellery of any description in the gymnasium. Religious jewellery must be taped or covered (with high neck, long sleeves or wrist bands).  

6.4 Gymnastic Members must be barefoot during training times unless there are any medical reasons, which should be discussed with the coach in charge of the child’s class at the start of the lesson.

7.0 Fee Reminders and Information

7.1 To help us help you to keep up-to-date with your child’s payments and important information, please fill out the details form and include your e-mail so we can send you any important information relating to your child. We will only send you fee reminders, important club information that affects your child or details on forthcoming events that your child could be involved in. We will not share your information with third parties other than British Gymnastics for your child’s insurance cover. However if you do not wish to be contacted by email then please let us know in writing.

8.0 Photos and Footage

8.1 From time to time we may take photos or footage of our members in the Centre and place them on our notice board, website, in newspapers, on television or use them for promotional purposes. If you do not wish for the named applicants image(s) or footage to be used in any way you must let us know in writing immediately addressing the letter to the “Europa Welfare Officer” ensuring that the applicants name and membership number is clearly visible. Unfortunately if you do decide not to allow us to take photos or footage of your child this could result in your child not being able to take part in club events and or competitions.

9.0 Dropping off & collecting your child

9.1 The Coaches and Staff of Europa are only responsible for your child during their class time, not before or after.

9.2 Children must register at reception upon arrival and collect a token. Children and parents must wait in the corridor to be called into the class.

9.3 You must drop off your child in the gymnastics hall ensuring that they enter the class via the correct gym door when told to do so and hand their token to the coach at the door. The responsibility of the child is then handed over to the Europa Centre staff.

9.4 You must collect your child at the gym door unless a member of staff tells you to do otherwise. We do not release the child until they recognise you as their parent. Once the child’s class has ended and the child has been returned to you, the responsibility of the child is no longer that of the Europa Centre. Children cannot be left in the centre without supervision if they are not involved in a structured activity. If you are running late please let us know so that a member of staff can continue to take responsibility for your child until you arrive. We advise that you put our number on your mobile phone so you can easily contact us. If you choose to drop off or collect your child in any other way then stated above, please let us know in writing addressing your intentions to our Welfare Officer ensuring your child’s name and membership number are clearly visible, this will also mean that as soon as the class has ended the responsibility of the child is no longer the Europa Centre’s. If you chose not to adhere to any of the rules with regards to dropping off and collecting your child then you cannot hold the Europa Centre responsible for the child other than during the class times your child is enrolled in.

10.0 During the Class

10.1 Parents must not enter the gymnasium. Parents do not need to stay for the duration of the class. Parents can view the class from the balcony as long as they abide by the Balcony protocol above.

10.2 Children are not allowed to bring a drink into the gym as there are water fountains situated outside the gym doors 2 & 3.

11.0 Terms and Conditions for Pre-School, Recreational, Individual Needs and FreeG Gymnasts - Course Fees and dates

11.1 Our classes run throughout the year with only a break at Christmas.  

11.2 Fees can be paid by Cash or Credit/Debit Card. We also take Credit/Debit Card Payments over the phone. We do not post credit card receipts, your receipt will be kept at reception awaiting collection. We do not take American Express.

11.3 Class fees are payable on a Bi-monthly basis, these payments will be for the course following your payment i.e. if you are paying in January it will be for February & March. All fees must be paid in advance of the course you are paying for. An email will be sent to every member as a reminder. The fees are as follows:-

Course 1:– 1st October – 30th November

Course 2:– 1st December  - 31st January

Course 3:– 1st February – 31st March

Course 4:- 1st April – 31st May

Course 5:- 1st June – 31st July

Course 6:- 1st August – 30th September

Payment Dates

Course 1:– 1st – 14th September

Course 2:– 1st – 14th November

Course 3:– 1st – 14th January

Course 4:– 1st – 14th March

Course 5:– 1st – 14th May

Course 6:– 1st – 14th July

11.4 If your child attends any classes during a course then you are liable for the full course regardless of attendance and no refunds will be given if your child chooses to leave during the course.  

11.5 There are no discounts or refunds for illness as you are paying for your child’s space within the class, we can on occasion offer additional classes to make up for any classes missed due to illness but this must be arranged at reception. The full course payment is due regardless of your child’s attendance. If your child does not attend any classes for more than 3 weeks without you notifying us then their space will be given to the next child on the waiting list. If there is a situation where the child has a long term illness or injury then you will need to discuss the matter with Reception and not assume that you will not be charged if your child is not attending.

11.6 The Europa Centre runs a Family discount scheme. Discounts on fees are only applicable if you pay at the correct time stated above. The Family Discount is only applicable when paying the full course for all family members at the correct time.

11.7 Please be aware that if your child decides not to continue at Europa anytime during the membership year, you must inform us before the end of the current course to avoid being liable for the next course’s full payment. Membership and Insurance is non-refundable. If you are moving to a new club, your British Gymnastics Membership & Insurance along with your London affiliation can be transferred.

11.8 We do appreciate that you could at some point in the membership year be going on holiday and the children will not be attending the class they are enrolled into. So, as long as you let us know the classes your child will be missing when you are paying for the course that includes the classes your child is going to miss we will discount your fee to a maximum of 3 weeks per membership year. However this is not possible unless you let us know in advance or if you are paying your child’s fees late. The 3 weeks can be taken all at once or as individual weeks. If you are going away and you do not want your child to miss any classes then you can pay the full fee and arrange make-up classes for the missed lessons at reception.

11.9 We may also on occasions have to cancel classes due to events taking place at the centre. We will always let you know of any class closures in advance of you paying the course fee and will of course discount you accordingly

11.10 Pre-School classes will always be closed in the February, May & October school half terms.

12.0 Terms and Conditions for Squad Gymnasts – Rules and Fee Payments

12.1 Full Club Kit must be purchased in order for your child to take part in any competitions, displays or events.

12.2 Squad Gymnasts are not allowed to wear Nail Varnish.

12.3 No Make-up is allowed for training or competition unless permission has been given.

12.4 Absolutely No Jewellery is allowed without exception. If your child was wearing jewellery and had an accident then your child’s British Gymnastics Insurance would be void.

12.5 Long hair must always be neatly tied back using clips and hairspray. No hair beads are allowed.

12.6 Payment of Fees is strictly on a monthly basis. Squad fees can only be paid by standing order. In circumstances where a standing order has not been set up by you or has not been processed correctly a £10 administration charge will be added to your child’s profile for every incorrect payment.

Your standing order must be set up to be paid on either 1st or 15th of every month. Your payment will relate to the month the payment was made.

The Standing order is your responsibility not the centres. If your child leaves Europa and you do not cancel your payments NO REFUNDS will be given. If fees are increased it’s your responsibility to amend your standing order accordingly. Failure to do so will result in an administration charge along with the additional amount owed each month until the fee has been changed to the correct amount. If there is a fee decrease for any reason, then again you must change your standing order and no refunds will be given for over payments.

12.7 If for any reason you decide to leave Europa, you must let us know in writing or by telephone as soon as possible. If your child has attended any classes in that month then you will be liable for the full month’s fee. If you do not inform us that your child has left we will continue to invoice your child on a monthly basis and you will be liable for the full payment whether your child has attended any classes or not, due to the space your child is taking within his/her squad.

12.8 Once your child is in a squad, regardless of the number of hours they actively take part in, the full fee for that squad is still due. Discounts are not given if all the hours are not taken up. Your payment is for the space in that squad and the level of coaching not the hours’ your child is taking part in.  

12.9 Fees are worked out to cover a full year and take into account trips and holiday, (yours and ours) or illness, so fees are payable each month regardless, the same as your mortgage, rent or any other bills. If your child is suffering from a long term illness or injury then his/her fees will be discussed with the Director of Coaching and yourself.
